VACANCY: HUMAN RESOURCE OFFICER
RW Attorneys is looking for an experienced and seasoned.
HUMAN RESOURCE OFFICER to join this growing Firm.
JOB DESCRIPTION
This role will provide HR support to line managers and Senior management in the implementation of HR strategies. You will be responsible for administration, record keeping and working with information management systems in the HR department. You will report to the Managing Director and Board of Directors.
RESPONSBILITIES
• Responsible for Recruitment and Selection process
• Ensures the smooth workflow for on-boarding, employee lifecycle changes and termination(off-boarding).
• Maintain employee records and data on Sage Professional
• Provides HR support by answering questions and requests to internal stakeholders
• Ensures data integrity and seeks to resolve queries timeously and accurately
• HR reporting; on staff movements, Employee Relations matters, etc. and HR Strategy Reporting
• Performance Management and probation review administration
• Employee Benefits administration liaison
• Leave liability management and employee attendance monitoring
• CA correspondence offer of articles
• Responsible for coordinating CA Rotation schedule
• Responsible for drafting HR-related correspondence
• Maintaining and updating HR related policies and procedures
• Ensure that all HR requirements for annual external Financial audit are in place
• Provide HR information necessary for the external financial audit
• Coordinate LPC-related payments, annual practitioner licenses and maintain record of the proof of payment.
• Responsible for Staff notices (e.g. send out birthday wishes),
• Attend to requests for data in support of tenders and proposals
ENGAGEMENT AND INDUCTION
• Ensure that Offer of Employment and employment contract are drafted and signed accordingly
• Ensure that all employee supporting documents are received and correctly filed
• Manage and co-ordinate the induction sessions for all new employees
• Responsible for the submission of correct and complete paperwork to the payroll / Full payroll administration and payroll run.
LEGAL PRACTICE COUNCIL
• Responsible for ensuring administrative compliance with LPC regulations relating to CAs and Associates, including admission of Associate designates requires detailed knowledge and understanding of LPC rules and regulations pertaining to CAs and membership in general
• Responsible for LPC administration
• Ensure a timeous annual renewal of Fidelity Fund certificates
• Ensure a timeous application for Fidelity Fund Certificates for new directors lateral hires and promotions
• Ensure a timeous payment of payment of director and associate annual membership fees
• Maintaining a database of all proof of payment to LPC
• Ensure that individual Letters of Good Standing are obtained by Procurement Manager
• Payment to the LPC for registration of articles and admission of retained CAs
• Timeous PVTC registration - facilitate signing and collection of application and supporting documents for submission of PVTC to the LPC to register training contracts
• Submission of certificate of appearance application with application to register PVTC
• Liaising with the Procurement Manager to information of any Director movements joiners and leavers timeously to ensure that CIPC records are up to and correct (not responsible for liaising with CIPC)
JOB REQUIREMENTS
• A pre-requisite - A minimum of five(5) years relevant experience in similar type of role.
• HR qualification, ideally NQF level 7 (HR Degree)
• Experience working in a Law Firm is a huge advantage.
• Sound knowledge of MS Office i.e. MS Word, Excel & PowerPoint.
• Good understanding and application of legislation BCoEA, LRA, and EE Act.
• Experience with Payroll and SAGE VIP (HR Modules) will be ad added advantage
• Sound knowledge of LPC regulations Attributes and knowledge will be advantageous
• Good command of the English language, both verbal and written.
