Call Centre Administrator

Department: Debt Collection Call Centre

Reports To: Call Centre Manager / Operations Manager

Location: Van Rhyns Attorneys

Employment Type: Full-Time

Position Overview
Van Rhyns Attorneys is seeking a highly organised, detail-oriented, and proactive Call Centre Administrator to provide administrative and operational support to our Debt Collection Call Centre. The successful candidate will play a vital role in ensuring the smooth day-to-day functioning of the call centre by managing administrative processes, maintaining accurate records, supporting agents, monitoring performance reporting, and ensuring compliance with company policies and client requirements.
This role requires exceptional organisational skills, strong computer literacy, and the ability to work efficiently in a fast-paced legal collections environment.

Key Responsibilities

Call Centre Administration
• Provide comprehensive administrative support to the Call Centre Manager.
• Maintain and update client and debtor records on the collections management system Excalibur
• Capture, verify and maintain accurate data.
• Ensure all administrative documentation is correctly filed electronically.
• Ensure compliance with company administrative procedures

Client Support
• Assist with preparing client correspondence.
• Coordinate information requests from clients.
• Maintain confidentiality of all client information.
• Assist in resolving administrative client queries.

Administrative Duties
• Email correspondence
• Printing and scanning
• Record keeping
• General office administration

The salary for this position will be between industry standard (I assume around R10 000)

Minimum Requirements
Education
• Grade 12 (Matric) – Essential

Experience
• Minimum 2 years' experience in an administrative role.
• Experience in a call centre environment preferred.
• Debt collection or legal industry experience will be advantageous.
• Experience working with collections management systems is beneficial.
• Medical account background
• Debt collection background essential

Technical Skills
• Microsoft Word (Advanced)
• Microsoft Excel (Intermediate to Advanced)

Job Summary: We are seeking an experienced Legal Secretary with a strong background in collections litigation, particularly in vehicle asset finance recoveries. The successful candidate will provide administrative and litigation support to attorneys handling debt recovery, repossessions, and enforcement proceedings relating to financed motor vehicles.

Key Responsibilities:
• Draft, prepare, and manage legal documents relating to collections and litigation matters.
• Handle vehicle asset finance collections files from inception to finalisation.
• Liaise with clients, debtors, sheriffs, correspondents, and attorneys.
• Prepare summonses, default judgments, warrants, and ex*****on documents.
• Monitor court deadlines and ensure compliance with legal procedures.
• Maintain accurate filing systems and update case management systems.
• Attend to collections-related correspondence and reporting.
• Follow up on outstanding matters and assist with vehicle repossession processes.

Requirements:
• Minimum 5-10 years' experience as a Legal Secretary in collections litigation.
• Proven experience in vehicle asset finance collections and recoveries.
• Strong knowledge of Magistrates' Court and High Court procedures.
• Proficient in Microsoft Office and legal practice management systems.
• Excellent organisational, communication, and administrative skills.
• Ability to work independently and manage a high-volume caseload.
• Strong attention to detail and ability to meet deadlines.

Preferred:
• Experience working with banks or financial institutions' vehicle finance portfolios.
• Knowledge of debt recovery and enforcement processes relating to motor vehicle assets.
