Let’s be honest… apostilles and notarizations aren’t exactly the most entertaining content to post about.

Most people don’t think about a notary public or apostille services until they’re facing a deadline, an international move, a last-minute document, or an unexpected challenge.

That’s where I come in.

Every day, I have the opportunity to work with people from all walks of life. Future brides and grooms, students preparing to study abroad, families handling international inheritance matters, individuals relocating overseas, and property owners managing assets in another country.

I also see the other side of the process.

Documents that were prepared incorrectly. Notarizations that were completed improperly. Forms that were rejected because one small detail was overlooked.

Planning to use your Oklahoma marriage certificate in another country?

Here’s an important apostille tip that could save you time and frustration.

The State of Oklahoma requires certified copies of marriage certificates submitted for apostille to be less than one year old. If your certified copy is older than one year, it cannot be apostilled and a new certified copy will need to be obtained before the process can move forward.

This is one of the most common issues I see when clients begin the apostille process, and knowing this requirement ahead of time can help prevent unnecessary delays.

Not every notarization ends with a signature.

Recently, I encountered a situation where I had to refuse a notarization. Between the family conflict surrounding the document, concerns about the circumstances, and the document itself lacking a notarial certificate, there were simply too many red flags to ignore.

One of the questions I was repeatedly asked was, “Which notary block should we use?”

The answer is simple: I can’t tell you.

As a notary public, I am not an attorney, and I cannot provide legal advice. Determining which notarial certificate is required is a legal decision that falls outside the scope of a notary’s authority.

What struck me most about this situation was something bigger.

There is a gap.

Every day, people sign important legal documents, estate planning documents, powers of attorney, and other paperwork believing everything is correct. Many are doing their best to navigate complex situations, but they may not realize there are critical issues with a document until they are sitting in front of a notary.

That’s a problem.

And it’s one I’m actively working to help solve.

My goal has always been to educate, provide resources, and help people better understand the processes surrounding important documents while staying within the role and responsibilities of a notary public.

Sometimes the most professional thing a notary can do is say no.

And in this case, saying no was the right thing to do.

Apostille confusion is something I see all the time, and it usually comes from not knowing who does what in the process.

A notary public is a state appointed official who verifies identity, witnesses a signature, and confirms that the person signing is doing so willingly and understands the document. A notary does not issue apostilles.

An apostille is a certification issued by the Secretary of State that makes certain documents valid for use in another country. It is part of the international authentication process for official paperwork.

Depending on the document, it may need to be notarized before it can be apostilled, but that is not always required. Some documents can go directly to the Secretary of State for apostille without notarization.

Knowing the difference helps prevent delays and ensures your documents are handled correctly from the start.

One thing about this work is that I don’t always get to hear what happens after the apostille is completed and the documents are delivered. I help clients with important paperwork every day, but the final chapter of their story is often unknown to me.

This morning, that changed.

I woke up to an email with one word written in all caps:

“SUCCESS!”

I cannot tell you how much that meant to me.
