How to ensure your Mailed Tax Documents are properly dated due to recent changes with postmark reliability, it is important to take extra precautions if you choose to mail your tax return or payment:
1. Always Use the U.S. Postal Service (USPS)
Use United States Postal Service directly. Private carriers (FedEx, UPS, etc.) may not always qualify under IRS “timely mailing” rules unless using specific approved services.
2. Request a Hand-Cancelled Postmark at the Counter * Do not drop your return in a mailbox. Instead:
• Go inside the post office
• Ask the clerk to hand-stamp (hand-cancel) the envelope with the current date
This provides a clearer, verifiable postmark.
3. Mail Early in the Day. Postmarks can reflect the next business day if mail is processed after pickup times. Mailing earlier increases the chance of receiving the correct date.
4. Use Certified Mail with Return Receipt Request Certified Mail for proof of mailing. This gives you:
• A dated receipt
• Tracking confirmation
• Additional documentation if there is ever a dispute
5. Keep Copies of Everything
Always - Always retain:
• A full copy of the return
• Your mailing receipt
• Tracking information
6. Avoid Last-Minute Mailing
Waiting until the deadline increases risk due to:
• Mail delays
• Postmark inconsistencies
