10 Ways to Improve Work Efficiency

One tip in particular I was pleasantly surprised to see. It said to "ditch your digital devices" (just temporarily) and write notes. Try taking written notes during a meeting and see if your thoughts flow more freely. By providing yourself with a small break from your normal processes can challenge your mind to work in new, productive ways.

I still take notes and I also type several of my notes, but I find that my mind does flow more freely when writing the old- fashioned way. What are your thoughts?

But I Might Need It One Day!!!

Do you have filing cabinet drawers so jammed with files that you get paper cuts just trying to get into a certain file? Are they filled with too many ancient files that should be archived? I bet there are old bank and credit card statements (many from a decade ago) and various papers you can’t bear to toss because you think, “But…I might need it one day!”

Filing Cabinets can be filled with too many ancient files. Files should be able to move, and not be jam-packed. Are yours so stuffed with paper that the cabinets or drawers won't even close?

People tend to hold onto useless papers for months or years due to the fear of letting go and believing it may be needed one day. This can lead to a paper pileup of grand proportions, which will inevitably lead to a chaotic workspace.

Ask yourself, “What would be THE worst thing that would happen if it’s gone?” More than likely, nothing. If so, then do you really need it? Ask yourself these two simple questions:

1) Is it available elsewhere?

If you’re in an office, another staff member may have this information readily accessible. For more personal documents, perhaps a relative would have it as well.

2) Can I get it from the Internet?

Many documents filling up your file cabinets, such as financial statements, can be retrieved online. They can then be downloaded and saved on your computer, filling the Cloud instead.

However, if there is something personal and you know for sure can’t be obtained elsewhere or from the Internet, scan the document into your computer and toss the hard copy.

Don’t be afraid to toss or shred useless papers that are taking up valuable space, cluttering your mind, and negatively impacting your productivity. Once you start tossing, you’ll feel amazingly better and less weighed down!

WHAT’S LURKING UNDER YOUR DESK? (IT’S NOT JUST YOUR FEET)

Is a big box of papers lurking under your desk? A pile of files? Extra shoes? Office Supplies? Equipment? Or maybe there are mysterious items lurking that you don’t even know what it is?

Four Quick Tips to Clear it Out

1. Containerize: Don’t keep stacks of paper or files on the floor under your desk. Get a plastic file box that holds hanging file folders and develop an effective file system, or simply archive them, etc.

2. Equipment: Donate it or dump it. If it is under your desk, it’s obviously not being used. Store wires and cables in a marked plastic bin or zip lock bags marked with a permanent marker indicating what it goes to. Find a nice decorative basket or box with a lid and place the zip lock bags there. With this method, you will always be able to find them.

3. Office Supplies: Gather and place all office supplies in the same location. Having them under your desk is out–of–sight, out–of–mind, and you find yourself buying the same items again because you forgot about them under your desk!

4. Mysterious Items: Give yourself 5 – 10 days. If you or anyone else in the office can’t figure out what it is, there’s only one place for it… the TRASH CAN!

Our weeks are filled with hectic schedules consisted of meetings, conference calls, project deadlines…the list goes on and on. This doesn’t include what we always have to do – the dreaded task of gift buying (although some people actually find it enjoyable). Here’s a tip on how to manage purchasing gifts for upcoming holidays, birthdays, baby showers, and other special occasions.

Print out a copy of your calendar for the month, highlight the day of the special occasion and make a note of which gift to purchase for whom, mark a deadline to avoid scrambling at the last minute, and place in your car’s glove compartment. When you’re out shopping, you’ll remember the person and what gift needs to be purchased. Once the month has ended, toss that calendar out and repeat!

Many people will look at their clutter and get completely overwhelmed. Try to train your mind to focus on one small area at a time. Rather than focusing on an entire room, set your mind on one or two stacks at a time.

Let’s say you have 10 boxes of paperwork to plow through. Concentrate on just ONE box at a time. In fact, move that one box to an area or another room away from the other boxes to work on to prevent the other nine boxes from posing as a distraction.
