One of my favorite questions an agent can ask me is:
"Is there anything I'm forgetting?"
Not because I expect something to be wrong.
Because it tells me we're working as a team to stay ahead of the transaction instead of reacting to it.
One thing I've learned over the years is that smooth transactions rarely happen because everything goes perfectly.
They happen because people communicate early, ask questions, and aren't afraid to double-check the details.
I'd much rather answer a question today than help solve a bigger problem next week.
Never hesitate to ask.

As another month comes to a close, I always like to pause and ask myself a few questions:

What's working well?

What's taking more time than it should?

Where did I create a better experience for my clients?

What can I improve next month?

Progress isn't always about making huge changes.

Sometimes it's about making one small improvement and repeating it consistently.

I'm excited for what's ahead, and I'm grateful for everyone who's been following along this month.

There's a big difference between monitoring a transaction and managing one.

Monitoring means watching deadlines as they approach.

Managing means planning ahead so those deadlines don't become stressful in the first place.

Monitoring reacts.

Managing anticipates.

After coordinating hundreds of transactions, I've found that the smoothest closings almost always have one thing in common: proactive communication and preparation.

A great transaction experience isn't built during the last week before closing.

It's built through consistent attention from day one.

Most agents assume they’ll know exactly when it’s time to hire a transaction coordinator.

Usually, they picture a certain number of closings.
But after working behind the scenes in real estate, I don’t think transaction count tells the whole story.

I pay more attention to what your business looks like between those closings.

Are you checking files at night because it’s the first quiet moment you’ve had?
Does every new contract throw off the rest of your week?
Are you the only person who knows what’s still outstanding in every transaction?
Are the things that grow your business constantly being pushed aside so you can keep up with the business you already have?

That’s usually when support starts to make sense.
Not because you can’t handle your transactions.
Because you’ve reached the point where personally handling every detail may no longer be the best use of your time or expertise.
You don’t have to wait until you’re completely overwhelmed to build support into your business.

Sometimes the best time to hire a TC is when things are still working... but you can see that the way you’re working isn’t going to support where you want to go next.

A healthy transaction file isn't something I hope for.
It's something I'm checking for every single day.
When people think about transaction coordination, they often picture deadlines and paperwork.
Those things matter.
But after managing hundreds (and eventually thousands) of transactions, I've learned that a healthy file is about much more than checking boxes.
It's about asking the right questions before small issues become expensive ones.
✔️ Is the next deadline already planned for?
✔️ Did everyone actually receive and understand the last update?
✔️ Can someone else open this file tomorrow and immediately know what's happening?
✔️ Is this task truly complete—or is there still one more loose end?
These are the questions that quietly prevent delayed closings, last-minute surprises, and unnecessary stress.
The best transactions usually don't feel exciting.
They feel organized.
Because someone has been paying attention to the details long before closing week arrives.
That's what I call a healthy file.
