A consultation is booked. That feels like a win.

But there are still several opportunities for the prospective client to disappear before the attorney ever gets the chance to speak with them.

Confirmation, reminders, intake information, follow-up, and clear ownership all matter. A booked consultation is not the same thing as a completed consultation.

Our latest article looks at the operational steps firms can use to reduce that gap.

A process that works with two people can break when it becomes a team of five.

The work itself may not have changed. What changes is the number of handoffs, questions, exceptions, and opportunities for inconsistency.

That is why scalable support needs more than capacity. It needs ownership, escalation paths, quality checks, and a clear way to keep everyone working from the same process.

More people solve a capacity problem. Structure solves a scaling problem.

What happens when a two-person legal e-filing operation needs to become a 14-person operation?

Adding people is only part of the answer.

This client needed to expand its e-filing operation without increasing the amount of time leadership spent managing staffing, scheduling, communication, and day-to-day issues.

Equivity built a managed operating model around the work, including daily Team Lead supervision, Account Manager oversight, workforce management, backup coverage, and weekly leadership reporting.

The engagement started as a two-person pilot.

Four months later, the team had grown to 14 professionals supporting 960+ managed hours each month.

The bigger takeaway? The partnership expanded because leadership gained confidence in the operating model—not simply the individuals doing the work.

Read the case study to see how a managed legal e-filing operation can scale without adding the same management burden to leadership.

External court logistics can create uncertainty. Your internal case organization doesn’t have to.

When hearings, transcripts, or court-reporting logistics become harder to coordinate, litigation teams still need current matter records, clear deadlines, organized case materials, and assigned next steps.

Our latest article focuses on the administrative work firms can control when external scheduling creates uncertainty.

A court-related delay is outside your control. A missing task owner may not be.

Use the Law Firm Efficiency Audit to look at the internal workflow around deadlines, case materials, follow-up, document preparation, and matter status.

The goal isn’t to make the team work faster at everything. It’s to find where work is waiting unnecessarily or bouncing between people.

Take the audit. https://zurl.co/dwO31

We’re headed to ClioCon 2026!

On October 26–27, our CEO and Paralegal Services Director will be in Boston for ClioCon, connecting with the legal professionals who are thinking about what’s next for their firms.

We’re especially looking forward to conversations about the things that happen *around* the technology—workflows, staffing, capacity, and getting more done without putting everything back on the attorneys’ desks.

Will you be at ClioCon? Let’s connect.

If you’re attending and would like to meet up, send us a message. We’d love to find time to talk.

Good support isn’t measured by how much work gets done on a normal Tuesday.

It shows up when a matter suddenly becomes urgent, a deadline moves, or an attorney has to redirect most of the day to one client.

The firms that handle those moments well usually have something in common: the work has clear owners, processes are documented, and routine tasks don’t depend on one person remembering every step.

That is operational resilience—not simply having more people available.

"We tried outsourcing. It didn't work."

Before writing off outsourcing, ask a different question:

What was actually being managed?

Giving someone a list of tasks isn't the same as giving them ownership of a workflow.

❓ Who oversees the work?
❓ Who checks quality?
❓ Who handles exceptions?

Those details matter, especially when priorities change.

Our short video looks at **how law firms can manage the risks that come with legal outsourcing** and what to consider before handing work to an outside team.

“We tried virtual support. It just didn’t work.”

Before deciding virtual support is the problem, ask a different question:

Is the problem the person or the way the work is being managed?

A virtual paralegal can be highly capable and still struggle if they’re only handed individual tasks without the context, communication, and workflow needed to manage the work effectively.

Our latest blog looks at why virtual support arrangements break down—and what firms can change before giving up on the model.

Read the blog to see what might really be getting in the way.
