Your AI tools are changing fast, and they're being updated way faster than your contracts are.

That's not a small thing when you're running a team, building IP, and scaling offers that live online.

A client asks for a refund claiming they never received what was promised and your team has no way to prove otherwise.

That situation gets expensive fast.

One issue we see in refund disputes with online programs is the gap between what was promised, what changed during delivery, and what the business can actually document afterward.

If your program includes things like

✔ live coaching calls
✔ Voxer or WhatsApp support
✔ bonus trainings
✔ payment plans
✔ substituted services or schedule changes

you need systems in place that track what clients actually received.

Can you see whether someone logged into the course?

Can you verify attendance on live calls?

Do you have records showing when support was delivered or when program changes were communicated?

As businesses scale, delivery naturally evolves. A live call becomes async support. A bonus changes. A coach steps in. None of that is automatically a problem, but if your contracts and internal systems do not account for it clearly, refund requests become much harder to defend.

The client disputes you start seeing at $500K+ in revenue aren't random.

They're almost always the same pattern.

When your business was smaller, most of your buyers came from referrals or warm audiences who already knew you. They trusted you before they purchased.

Scaling and using new marketing methods - like paid ads - changes that.

Now you're selling to cold traffic. People who found you last Tuesday and decided to invest. That's not a problem, but it does mean your legal systems need to do more work than they used to.

You might be misclassifying your team right now and not even know it. Here's a rule that actually sticks:

Tell someone what to do → contractor.
Tell someone how to do it → employee.
