That's one of my favorite compliments.
Most people think transaction coordination is about managing paperwork.
While that's certainly part of the role, what I'm really helping create is structure.

A healthy transaction file isn't something I hope for.
It's something I'm checking for every single day.
When people think about transaction coordination, they often picture deadlines and paperwork.
Those things matter.
But after managing hundreds (and eventually thousands) of transactions, I've learned that a healthy file is about much more than checking boxes.
It's about asking the right questions before small issues become expensive ones.
✔️ Is the next deadline already planned for?
✔️ Did everyone actually receive and understand the last update?
✔️ Can someone else open this file tomorrow and immediately know what's happening?
✔️ Is this task truly complete—or is there still one more loose end?
These are the questions that quietly prevent delayed closings, last-minute surprises, and unnecessary stress.
The best transactions usually don't feel exciting.
They feel organized.
Because someone has been paying attention to the details long before closing week arrives.

The contract is signed... now the real work begins.
One of the biggest misconceptions about transaction coordination is that once a contract is executed, everything just naturally moves toward closing.
I wish that were true.
The reality is that a successful transaction isn't powered by one big task—it's built on hundreds of small details that have to happen at the right time, in the right order, with the right people.
In the first couple of days, I'm making sure everyone has what they need to get started.
As the transaction moves forward, I'm tracking what's complete, what's still outstanding, who's waiting on who, and which conversations still need to happen.
By the time closing week arrives, my focus shifts again.
At that point, I don't want to be discovering loose ends—I want to be confirming that every detail is already falling into place.
That's the part of transaction coordination most people never see.
And honestly... that's exactly how it should be.
The smoothest closings usually aren't the lucky ones.
They're the ones where someone has been paying attention long before closing week ever arrived.

A lot of agents think of a Transaction Coordinator as someone who steps in once a property goes under contract.
But depending on the services I offer, my support can begin much earlier.
Before a listing ever goes active, there are already a lot of moving pieces.
Documents to collect.
Signatures to track.
Property information to organize.
Disclosures to prepare.
Photos and vendors to coordinate.
MLS details to gather.
Compliance requirements to think about.
And when an agent is handling every one of those steps from memory, every new listing can start to feel like rebuilding the process from scratch.
That’s where listing support can make such a difference.
My role isn’t to replace the agent’s expertise or client relationship.
It’s to help create an organized process behind the scenes so the agent can spend more time advising the seller, preparing the property, marketing the listing, and generating the next opportunity.

Customize based on your state, brokerage requirements, and scope of services.

The contract is signed, everyone is celebrating, and now it's time to send the file to your TC.

But before you forward one attachment and disappear... 😅

Here's something that makes a big difference:

Send the full story.

I don't just need the main contract. I need the documents, contacts, and context that help me understand the transaction I'm stepping into.

That may include the fully executed contract, signed addenda, disclosures, representation or compensation documents, existing property documents, and anything else that affects the file.

I also need to know what the paperwork can't tell me.

Was the inspection already scheduled?

Is there a conversation I should be aware of?

Has something already been promised, discussed, or handled?

Are there client dynamics that may affect how I communicate?

A complete handoff allows me to start managing the transaction immediately instead of spending the first day piecing together what happened before I arrived.

The documents tell me what was signed.

The context tells me how to support the transaction well.

Agents, save this for your next accepted contract, and ask your TC what they want included in every new file handoff.

Getting the buyer agreement signed is only the first step.

One thing I think agents should be paying more attention to is what happens after that agreement is filed away.

By the time a buyer is ready to write an offer, several things may have changed.

Their search may have expanded.

The original agreement may be nearing expiration.

The property may fall outside what was originally discussed.

The compensation conversation may look different than it did at the beginning.

From a transaction coordination standpoint, I don't want the offer stage to be the first time anyone realizes something no longer lines up.

That's why I believe the buyer agreement should stay connected to the buyer process, not disappear into a folder after it's signed.

Before an offer moves forward, it's worth making sure the agreement still reflects the relationship and the transaction in front of you.

A signed document is important.

A signed document that still aligns with what's actually happening is even better.

Always follow your broker's guidance and approved forms when reviewing buyer representation agreements.

Most listing problems don't start after the property goes live.
They usually start much earlier—with small details that seem insignificant in the moment.
Over the years, I've learned that a missing signature, mismatched dates, or an incomplete disclosure might not seem urgent today... but they can create unnecessary delays later.
That's why I never treat a listing agreement as ""just paperwork.""
Before a listing goes live, I'm reviewing it for consistency, compliance, and the little details that often get overlooked when everyone is moving quickly.
It's not about finding mistakes.
It's about creating a smoother experience for everyone involved.

One thing I see often with busy agents isn't a lack of motivation.

It's constant task switching.

Checking an email...

Answering a text...

Reviewing a document...

Taking a client call...

Going back to the email you never finished.

None of those things are difficult on their own.

But constantly shifting your attention makes everything take longer.

One habit that's helped me tremendously as a Transaction Coordinator is grouping similar tasks together whenever possible.

Communication.

Document review.

Timeline updates.

Vendor follow-up.

Fewer interruptions usually create a much smoother workflow.

You may want to ask your TC first.

One of the most overlooked parts of my role is the number of professionals I get to see work inside real transactions.

I work across different agents, clients, properties, timelines, and situations. And over time, you start to notice patterns.

I notice who communicates without needing three follow-ups.

Who does what they say they're going to do.

Who keeps everyone informed when something changes.

Who handles a problem calmly instead of disappearing.

And who consistently makes the transaction easier for the agent and the client.

Because a great vendor isn't just someone who does good work.

They're someone who works well inside a transaction.

There's a big difference.

So if you're ever looking for a lender, title company, inspector, photographer, stager, moving company, or another real estate professional, don't be afraid to ask your TC.

I may not know everyone in your market.

But if I've worked with someone enough times to recommend them, I can usually tell you exactly why.

Before I start a new week, there are a few things I always like to review:

✓ upcoming deadlines

✓ pending signatures

✓ active transaction timelines

✓ client communication that may need attention

✓ anything that could create unnecessary stress next week

I've found that a small amount of preparation on the front end often creates a much smoother week on the back end.

It's not about working more.

It's about reducing surprises.
