We help agents stay organized, compliant, and stress-free. Here at White Pickett Fence Services, our goal is to take all the guesswork out of a real estate transaction. From the client to the agent, to the closing attorney, to the lender. Our sole purpose is to make sure all the I's are dotted and T's crossed to ensure a timely and smooth real estate transaction. Once the contract is executed this

is where our team steps in! We complete a summary of all the time sensitive deadlines within the contract and provide this to the client, the co-op agent, the lender and the attorney to ensure everyone is on the same page. After that, we follow up on all the deadlines laid out in the summary to ensure everything is on track! This allows the agent to focus on what they do best, which is selling homes! On average, an agent will spend about 13 hours on any given transaction once it goes under contract. For a flat rate, you can be sure that 13 hours of your time is spent prospecting, showing homes, or even on vacation. Utilizing the time leverage of a transaction coordinator can allow you to take your business to the next level and give you peace of mind knowing all addendums have been shared, all deposits have been completed, all you have to do is collect your commission check. Need a vendor recommendation? You may want to ask your TC first.

One of the most overlooked parts of our role is the number of professionals we get to see work inside real transactions.

We work across different agents, clients, properties, timelines, and situations. And over time, you start to notice patterns.

We notice who communicates without needing three follow-ups.
Who does what they say they're going to do.
Who keeps everyone informed when something changes.
Who handles a problem calmly instead of disappearing.
And who consistently makes the transaction easier for the agent and the client.

Because a great vendor isn't just someone who does good work. They're someone who works well inside a transaction. There's a big difference.

When people think about systems, they usually think about efficiency.

We think about confidence.

A well-managed process helps clients feel informed. It helps agents feel prepared. It helps everyone know what comes next.

Communication isn't just about providing updates, it's about creating confidence throughout the transaction.

The best compliment we can receive isn't that a file closed on time. It's hearing that the process felt organized, calm, and easy to understand.

The conversations you avoid are usually the ones that need to happen first.

The missing document.
The unanswered question.
The deadline that still hasn't been confirmed.
The repair item nobody has addressed yet.

None of these feel urgent when they're first discovered. But they rarely become easier by waiting. Because a five-minute conversation today can prevent five days of stress later.

One of the biggest misconceptions about transaction coordination is that it's simply about paperwork.

In reality, a large part of our role is helping create a process that keeps transactions organized, timelines visible, and communication moving.

While we don't provide legal advice or replace the role of your broker or attorney, we can help reduce the number of preventable administrative issues that often create unnecessary stress.

That looks like:

-tracking important contract deadlines
-reviewing documents for completeness before they're sent
-coordinating communication between all parties
-following up on outstanding items
-helping keep everyone informed throughout the transaction

We're creating a transaction process that's proactive instead of reactive. Because when the administrative side is organized, agents have more confidence focusing on what they do best... serving their clients.

One thing we’ve noticed after being inside a LOT of transactions?

The deals that feel the smoothest on the outside usually have the strongest backend process behind them.

Not because there are fewer moving parts…

But because someone is paying attention to the details before they become problems.

Things like:

-keeping communication centralized
-following up before deadlines become urgent
-catching missing information early
-making sure everyone stays aligned throughout the process

Most transaction stress doesn’t come from one massive issue. It builds slowly through small gaps that weren’t handled early enough.

And when those small gaps stack up, everything starts feeling more reactive than it should.

The backend of a business may not always be visible…

But you definitely feel the difference when it’s strong.

A reminder for the busy Realtors this August:

You were never meant to carry every moving piece of your business by yourself.

Not every email.
Not every follow-up.
Not every deadline.
Not every transaction detail.

Somewhere along the way, many agents begin believing that doing everything themselves is part of being successful. It's often the opposite.
