We are seeking a highly organised and professional Secretary to provide essential administrative support to our Head of Conveyancing Department. The successful candidate will play a vital role in ensuring smooth office operations, managing correspondence, and assisting with various clerical tasks. This paid position offers an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a dynamic team. Salary dependant on experience.
Conveyancing experience is preferred, but full training will be provided for the right candidate.
Key responsibilities include:
• Perform audio typing of legal proceedings, correspondence, and reports
• Preparing correspondence and documents
• Attending to clients in person and by telephone
• Managing filing systems, including daily filing and the opening, closing, storage, and retrieval of client files
• Preparing mail and enclosures for dispatch
• Scanning and photocopying documents
• Ensuring all post-completion processes are finalised
• Handle incoming calls, emails, and correspondence efficiently
• Carrying out any other duties as required
Requirements
• Proven administrative experience, ideally within a legal setting
• Strong organisational skills with excellent time management abilities
• Proficiency in audio typing at high speed with accuracy
• Excellent communication skills, both written and verbal
• Good IT skills
• Ability to prioritise tasks effectively in a busy environment
• Attention to detail and confidentiality are essential qualities for this role
