Put the decisions at the front of the board pack.

Resident directors are often reading after a full day’s work. They need to see what needs their attention and why.

Set out the recommendation, the cost, the relevant options, and the consequence of delay. Keep the supporting information close by.

After the meeting, record what was agreed, who will carry it out, and when the board will hear about progress.

The next meeting should begin with an update against those commitments.

A survey report is only useful when its recommendations lead to decisions and action.

For a surveyor, it is frustrating to see the same issue still open months after the report was delivered. For a board, the difficulty is often the route from recommendation to decision.

The practical questions are straightforward: what is the priority, what information or approval is needed, and who is taking the next action?

A managing agent should help keep that route clear, with agreed actions and regular follow-up.

Why does the block next door pay less?

It is a fair question, but the first step is to understand what each service charge actually pays for.

One building may have lifts, more shared space, or different insurance costs. Another may be putting more aside for work that is likely to be needed in future. A low charge can also leave necessary work underfunded.

Ask for the biggest differences to be explained. Then check whether the services being paid for are being delivered.

One unanswered management enquiry can hold up a sale.

For a sales progressor, the same email can end up going round in circles while the buyer and seller wait for an answer.

Pin down what is actually missing. Is it an account, a response on planned works, or a particular management enquiry? Then ask who is preparing the answer and when a substantive update can be expected.

If several sales in the same building run into the same difficulty, that is useful evidence for the board when it reviews its management service.

A contractor’s available start date is only one part of planning major works.

The board also needs to understand the scope, funding, and any leaseholder consultation that may be required before committing to a programme.

Section 20 consultation, where it applies, is a formal process. A general update to residents does not take its place.

Bring the planning conversation forward. It gives the board more time to consider the work, the cost, and the route to a sound decision.

Buying the freehold is a major legal milestone. It is also the point at which the building needs to start operating under new arrangements.

Before completion, a group should understand what happens to the day-to-day management, insurance, service contracts, financial records, and any repairs that are still open.

The earlier those arrangements are checked, the less likely directors are to spend their first weeks as new freeholders trying to work out who is responsible for what.

If you advise a group approaching completion, Red Rock can discuss the management arrangements alongside its legal advisers.

A management fee is only useful when the board understands what sits behind it.

Before comparing proposals, look beyond the headline figure. Check what routine work is included, what may be charged separately, and whether the proposal reflects the actual needs of the building.

A clear written breakdown gives a board a fairer basis for comparison and helps avoid surprises after the appointment.

A board can know that a change of managing agent is needed and still feel concerned about what may be left behind.

That concern is understandable. There may be unfinished repairs, records to locate, service-charge funds to reconcile, and residents waiting for answers.

Before appointing a new agent, the board should be able to see what is live, what information is missing, who is chasing each issue, and how residents will be kept informed. That gives the board a practical basis for deciding how it wants the change handled.

If the handover question is stopping your board from considering its options, Red Rock would be happy to have an initial conversation.

When resident directors find themselves chasing repairs, filling gaps in maintenance or trying to keep the communal areas presentable themselves, it is reasonable to ask whether the managing arrangement is working as it should.

A managing agent should help the board understand what is outstanding, what needs priority and who is responsible for each next step. Directors still make important decisions, but they should not have to become unpaid property managers.

If your board is doing too much of the day-to-day work, Red Rock would be happy to start with a conversation about the building and what needs attention.

A new instruction for Red Rock in Harwich.

Red Rock has been appointed managing agent for Quayside Court Management RTM Limited, a Grade II-listed building on The Quay.

Quayside Court began life in 1864 as the Great Eastern Hotel, later served as municipal offices, and is now home to its residents. Buildings do not lose their practical needs simply because they have a rather more interesting past than most.
The work ahead is the unglamorous but important sort: getting to know the building, bringing records and live matters into order, and supporting directors with clear information as decisions arise.

Thank you to Quayside Court Management RTM Limited for choosing Red Rock. We look forward to getting started.
