A small business owner was stressed! Bills were late, due dates lived only in his head, and he wasn’t sure what money was coming or going.

I stepped in to:
• Update loan accounts
• Sort through emails and credit card history for routine bills
• Add all upcoming and outstanding bills into QuickBooks

Now, he can clearly see what’s due, what’s past due, and what’s coming up. For the first time, he felt confident in his cash flow and had a plan moving forward.

👉 Sometimes the first step is simply getting it out of your head and into a system.

Unexpected expenses can stall projects and profits. Here’s how to stay ahead:

1️⃣ Forecast Monthly Inflows & Outflows – Track when client payments are expected and when bills are due.
2️⃣ Set Aside for Retentions & Taxes – Don’t let held-back payments surprise you.
3️⃣ Review Weekly – A 10-minute check-in on your books can prevent cash crunches before they happen.

💡 Tip: Even a simple QuickBooks forecast can show where money will be tight and help you plan better.

I recently helped a small construction contractor catch up 2.5 years of bookkeeping…reconciling payroll, all bank and credit accounts, reviewing AR and AP, setting up fixed asset and liability accounts, and preparing clean reports for taxes, etc.

The result? Accurate books, confident tax filing, and a clear picture of the business’s financial health.

If your books are a mess and it feels overwhelming, let’s chat! I offer a free diagnostic evaluation to see how I can help your business get back on track.

Many contractors leave profit on the table because expenses aren’t tracked correctly. A few simple habits can fix that:

1️⃣ Code Every Expense to the Right Job – Track labor, materials, and subcontractors by project to see which jobs are profitable.
2️⃣ Organize Bills & Set Reminders – Enter invoices immediately and schedule payments to avoid missed credits or late fees.
3️⃣ Use QuickBooks Job Costing Reports – Compare actual vs. estimated costs to catch overruns before they eat your profits.

Even small improvements in bill management and job costing can save thousands a year.
