The phone rings. I answer, and the person on the other end sounds worried.

**Customer:** “Hi, I know this is last minute, but by any chance are you able to notarize a document for me online?”

**Me:** “What are you notarizing?”

**Customer:** “It’s a document for my daughter’s school. I was supposed to give it to her before I left. She needs it tomorrow, but I’m at the airport getting ready to board. Can you please help me?”

**Me:** “Sure. I’m available right now. Can you send me the document?”

**Customer:** “Sure, what’s your email? Or better yet, can you just text it to me? I’ll send it right now.”

I text him my secure upload link.

Documents received.

Session created.

Email sent.

Customer joins.

**Five minutes later, we’re done.**

Invoice sent.

Invoice paid.

Then I get a text:

**“Thank you for helping me on such short notice. You’re my go-to notary moving forward.”**

I thanked him and wished him a safe flight.

And THAT is how you do it.

One of the questions I hear from notaries interested in RON is:

**“How do I get business for online notarizations?”**

This is how.

You recognize a problem and offer your online service as the solution.

In this case, I didn’t have to convince the customer that he needed RON. He already had a problem: he was at the airport, his daughter needed the document the next day, and an in-person appointment wasn’t practical.

The phone rings. I answer, and the customer on the other end is frantic.

**Customer:** “Hi! I see that you close in 15 minutes. I just got off work, and I’m trying to make it to Staples to print the document I need notarized. Can you please wait for me to get there? I’ll probably be about 10 minutes late.”

**Me:** “It’s okay. Calm down. You can come straight to my office. I’ll print your documents when you get here.”

**Customer:** “Oh my God, THANK YOU! I’ll head that way now.”

**Me:** “No problem. Take your time. I’ll see you when you arrive.”

And just like that, one stop was eliminated.

No rushing to Staples.

No worrying about whether she could get the documents printed in time.

No racing across town trying to beat the clock.

Just come to the office. **I’ve got you.**

This is what I mean when I say I want to provide a **stress-free notary experience.**

Sometimes that means notarizing the document.

Sometimes it means printing it, scanning it, or faxing it.

And sometimes it simply means telling someone, **“Take your time. You don’t have to rush.”**

Yes, I stayed a little past closing.

Yes, I printed the documents.

And yes, I’d do it again.

Because sometimes excellent customer service isn’t complicated.

“Hey, I’m also a notary. I can do more than you.”

An attorney said this to me jokingly at the Chamber breakfast today after noticing my notary name tag.

We both smiled, and I responded:

“But what’s your focus?”

He paused.

“Touché. Let me get your card.”

And THAT was the point.

I’m well aware that attorneys can be notaries. But an attorney’s primary role is to practice law. When feasible, they can put on the notary hat too—but that’s also one more task they don’t necessarily have to assume.

That’s where professionals like me come in.

You focus on practicing law and serving your clients.

I’ll focus on notarizing documents and being available when you or your clients need that service.

Being able to do something doesn’t mean you have to do everything yourself.

Sometimes good business is simply knowing which hat you should be wearing—and having trusted professionals around you who can wear the others.

You wear your hat. I’ll wear mine.

Sometimes, I’m scheduled to meet with signers who are just visiting the area. They don’t live here, they don’t have a home or office nearby, so when they’re asked to choose a meeting location, they pick what’s available.

McDonald’s. Starbucks. Panera. I’ve even met signers outside of a gas station before.

And technically, we *can* get the signing done there.

But when I see that the meeting location is close to my office, I’ll offer another option:

**“Would you prefer to meet at my office instead?”**

I can’t tell you how many times I’ve heard some version of:

**“Oh! You have an office? yes”**

Because once they really think about it, they realize they would be sitting in a public place discussing or handling documents containing sensitive information—banking information, Social Security numbers, financial information, estate documents, or other personal details.

Suddenly, that cup of coffee and a table in the corner doesn’t feel quite as comfortable.

That’s when having an office becomes more than just having an office.

It gives my customers another option.

A private, professional space where they can sit down, ask questions, review their documents, and complete their signing without worrying about who might be sitting at the table next to them.

And if I can offer that option instead of having someone discuss their personal business in the middle of a crowded restaurant?

**Absolutely.**

It’s a simple convenience, but it’s another part of creating the stress-free experience I want my customers to have.

Sometimes convenience isn’t about going to the customer.

Sometimes convenience is giving them a comfortable place to come to you.

I often see notaries say they would never want an office because there’s more money in staying mobile.

The reasoning usually sounds something like this:

**“If the customer comes to me, I can’t charge a travel fee.”**

And technically, that’s true.

But I look at it a little differently.

I’ve never had a client tell me they were going to pay me less for a signing simply because the customer came to my office instead of me traveling to them.

Now, for general notary appointments, yes—when someone comes to my office, there’s no travel fee. They’re paying for the notarization itself.

But you know what else happens?

They need something printed.

They need copies.

They need something scanned and emailed.

Sometimes they need something faxed. And yes, I still offer fax services because I have the equipment available. 😂

The office allows me to provide additional services while also giving customers a private, professional place to handle their documents.

And there’s another side of it that matters to me:

**Not every business decision has to be about extracting the maximum amount of money from every appointment.**

Yes, I’m in business to make money. Of course I am.

But money doesn’t have to be the top goal in every single decision.

Sometimes the goal is convenience.

Sometimes it’s privacy.

Sometimes it’s efficiency.

Sometimes it’s creating an experience that makes a customer think, *“I know exactly where I’m going the next time I need this.”*

And sometimes it’s about making my own business more sustainable by not spending my entire day driving from appointment to appointment.

There’s nothing wrong with operating a completely mobile notary business. There’s also nothing wrong with building a business where customers have the option to come to you.

**Different business models. Different revenue streams. Different priorities.**

The important part is building the model that works for the business you’re trying to create.

Yesterday, a customer booked an in-office notarization through my assistant. They also requested two witnesses.

Everything was scheduled and ready to go.

But when the signer arrived today, I discovered something we hadn't known when the appointment was booked:

The signer did not speak or understand English.

At that point, I had a decision to make.

Cancel the appointment and send everyone home?

Or find a way to properly serve the client?

I reached into my stack of business cards and called a Spanish-speaking notary in my network.

“Are you available?”

She was.

About an hour later, she arrived at my office and the clients were able to complete their signing.

**That's what I call teamwork.**

Over the years, I've built a list of notaries I can call when I need assistance—and I'm on their lists, too.

Different languages. Different schedules. Different service areas. Different specialties.

We're technically in the same industry, but that doesn't mean we always have to operate as competitors.

Sometimes another notary is exactly who you need to take care of your customer.

And sometimes you're exactly who another notary needs.

This experience also showed me a gap in our booking process. We now ask customers whether the signer speaks and understands English so we can make sure the appointment is staffed with a notary who can communicate directly with the signer **before they arrive**.

That's another part of teamwork: learning from the experience and improving the system.

**Your network isn't just a collection of contacts. It's part of your business infrastructure.**

Build relationships with good notaries before you need them.

You never know when you'll need to make that call—or when your phone will be the one ringing.

You know what else my office provides my customers?

A safe space.

Yes, it gives them a professional setting away from the chaos of the day. But sometimes, it also gives them a place to release the stress of whatever brought them through my door.

When I say I strive to provide a **stress-free process**, I really do mean it.

We’re only 19 days into the month, and I’ve already had returning customers find their way back to me to handle paperwork connected to circumstances that won’t necessarily bring them joy or comfort.

They’ve walked into my office with somber faces and left with smiles.

Not because the situation suddenly became happy.

But because, for a few moments, they had a place where they could **decompress, talk, cry, breathe, and simply process what they were going through.**

Sometimes the paperwork sitting on my desk represents a major life change, a loss, a difficult decision, or a chapter someone never expected to face.

My job may be to handle the notarial process professionally, but that doesn’t mean I have to forget about the person sitting across from me.

A little patience costs nothing.

A kind word is free.

Giving someone a moment to breathe is free.

And sometimes, that’s exactly what they need.

**Things Notaries Do Without Being Told**

Today I completed two RON closings, and both included Florida deeds.

I noticed something on both documents: there was a place for the two witnesses to sign and print their names, but there was **no space for their addresses.**

So I added one.

No one asked me to do it.
No one sent special instructions.
No one had to catch it afterward.

**I knew to look for it.**

Florida law includes specific recording requirements for instruments affecting real property, including the **post-office address of each witness**. That requirement is found in **Florida Statute § 695.26**, under Real and Personal Property—not in Chapter 117, where Florida notaries typically spend most of their time studying.

And I think that's an important distinction.

Knowing your notary laws is essential. But experience also teaches you to understand the documents you're handling and recognize when something that should be there is missing.

My job isn't to draft or alter someone's legal document or give legal advice. But when I'm handling a Florida deed and I see witness lines with no place for information I know is required for recording, I know what I'm looking at.

That's one of those things experienced notaries do without being told.

**We don't just know where to stamp. We know what to look for.**

This is also why I encourage Florida notaries to learn beyond Chapter 117. The documents we encounter may be governed by requirements found elsewhere in Florida law.

Yes. And I think the strongest part of this is that you’re challenging the idea that being constantly busy is proof that you’re successful. Your W-2 experience gives you a natural way to make the point without sounding preachy.

Let’s debunk a myth: You have to do all the things to be successful.

No, you don’t.

In fact, trying to do everything can be a surefire way to burn yourself out.

For a long time, I thought being able to work a full-time W-2 job while running a business was a flex.

Look at me. Working my job. Building my business. Taking care of my family. Handling responsibilities. Still showing up.

I thought this must be what success looks like.

I found out the hard way that it wasn’t.

Because when you have a family that depends on you—and I’m not just talking about financially—your time and energy matter.

Your family needs you emotionally.

They need your presence.

And you need some of you, too.

Doing all the things can leave you with nothing left to give yourself.

That’s the part of entrepreneurship we don’t celebrate enough.

Success doesn’t have to mean juggling the most responsibilities, working the longest hours, or proving how much you can carry.

Sometimes success looks like putting something down.

Sometimes it’s saying no.

Sometimes it’s creating systems, asking for help, changing your business model, or deciding that something simply isn’t worth your time anymore.

I no longer see exhaustion as evidence that I’m working hard enough.

And I definitely don’t see being busy as a flex.

The goal isn’t to prove how much you can carry. The goal is to build a life where you don’t have to carry everything.
