Why are there two notary stamps on my document?

Sometimes the first seal impression is blurry or incomplete. The Florida Department of State advises the notary to apply a second, clearer impression as close to the first one as possible—without covering any writing.

A clear seal matters because the notary’s information must remain readable when your document is copied, scanned or recorded.

Have you ever seen “S.S.” near the state and county section of a document?

It does not mean Social Security number—so please don’t write your number there!

The letters come from a Latin word meaning “in particular” or “namely.” They are part of the venue showing where the notarization takes place.

A notary stamp does not certify that a translation is accurate.

In Florida, the translator may sign an affidavit swearing that the translation is accurate, and a notary may notarize the translator’s signature. The translator remains responsible for the actual translation.

If the notary also translated the document, another notary must handle the notarization.

Is your document from another state? That does not automatically mean you need an out-of-state notary.

A Florida notary may notarize a document prepared elsewhere or being sent to another state or country, as long as the notarization is performed in Florida and the notarial certificate meets Florida’s requirements.

The venue must show where the notarization actually takes place—not where the document came from or where it is going.

A notary must be an impartial witness.

Florida law does not allow a notary to notarize a document when the notary has a financial interest in—or is a party to—the transaction. A notarization is about protecting everyone involved, not simply adding a stamp to the page.

The color of a notary stamp matters!

Florida requires the official rubber-stamp seal on a paper document to be applied in photographically reproducible black ink. A raised or embossed seal may look official, but it cannot replace the required ink stamp.

A clean and complete notarization helps your paperwork remain readable when it is copied, scanned or submitted.

A signature alone is not enough—the signer must appear to understand what they are signing.

Florida law prohibits a notary from notarizing when the signer appears mentally incapable of understanding the nature and effect of the document at that time.

This is especially important during hospital, hospice and nursing-facility appointments. Please don’t wait until a crisis. Handle important paperwork while your loved one is alert, willing and able to communicate clearly.

No acceptable ID? Don’t assume you’re completely out of options.

Florida law may allow credible witnesses to help establish a signer’s identity when obtaining acceptable identification would be very difficult or impossible. The witnesses must meet strict legal requirements, so this is not as simple as bringing anybody along.

Understanding matters—not just the signature.

If a person does not speak or understand English, Florida law requires the nature and effect of the document to be translated into a language they understand before the notary can take their acknowledgment.

Telling someone, “Just sign here,” is not enough. Every signer deserves to understand what they are acknowledging.

If language assistance may be needed, call before the appointment so the proper arrangements can be made.
