A drafted estate plan is not the same as a completed estate plan.

October is National Estate Planning Awareness Month. A good time to ask: are your wills, trusts, powers of attorney, healthcare directives, and advance directives actually signed, witnessed, and notarized where required?

In Tennessee, estate documents can have specific ex*****on requirements, including witnesses, notarization, or both. Those formalities matter. A plan that was only drafted, or signed incorrectly, may leave a family stuck at the exact moment they can least handle it.

This is not a step to squeeze in between appointments. It deserves time and attention, and it deserves someone whose whole job is getting the details right.

That is where I come in.

An estate document signing is really a signing ceremony. Every signature, every witness, and every notarial certificate has to land in the right place, in the right order, at the right time. I walk each person through it so everyone understands exactly what they are signing and why.

What that looks like in practice:

• Identifying each party and confirming that everyone present is who they say they are
• Confirming the witnesses are eligible and available, and guiding each one to sign in the correct place
• Keeping names consistent across every document in the package
• Checking that no signature, date, or initial line is left blank
• Completing the notarial certificate correctly for each document
• Slowing down and pausing whenever something does not line up, instead of pushing through

I come to you, at your home, office, hospital, or care facility, so the whole family can handle this together in one careful sitting with someone managing the details, leaving you free to focus on the conversation.

That is the difference between a plan that exists on paper and a plan that holds up when it is actually needed.

If your documents are ready for signing, or you are an attorney or financial professional helping a client coordinate the next step, call, text, or reach out through our website. We would be glad to help.

🎩 Happy Mad Hatter Day!

The Mad Hatter’s watch was two days off, and he never noticed. Everyone around him just accepted it.

In business paperwork, though, “close enough” dates can create a very real headache. Nobody catches a questionable date faster than a notary.

Things like:
• An undated signature line
• A date that doesn’t match the rest of the package
• A document dated before the signer even received it

One small date error can stall a closing, delay a loan package, or send an estate document back for correction.

The Hatter had an excuse. He was mad. The rest of us have a notary. 😉

If your documents are ready for signing, I’d be glad to help keep the details, and the process, moving. Call, text, or reach out through notaryforce.com.

Remote online notarization is not only a convenience for a routine signing. Sometimes it is what keeps a sale from falling apart.

Last week, sellers of a Florida home were out of the country, and closing had to happen Friday, or the deal could be lost. They could not simply call a mobile notary overseas without delaying the closing.

So we met remotely. It took several hours because of weak internet and two signers sharing one device.

The first signer passed knowledge-based authentication and uploaded an ID. The second signer did not pass identity verification on the first attempt. Because attempts are limited, we had to close the session and start a new one. The first signer completed verification again, and the second signer passed.

We got it done, with both signers properly verified, despite the internet problems and redo.

A session that hiccups is not necessarily over. It needs someone willing to stay with it and work through every option before calling it.

I stayed with it for the signers and because I knew what that Friday meant to the title company. When I am hired directly, seeing it through is my responsibility. There is no queue to hand it back to.

Remote online notarization can save a sale. It takes more than a video call to do it.

If your signers cannot be in the room, I would be glad to help.

Remote online notarization can make a signing feel personal and convenient. But seeing a face on camera is only one piece of identification.

A recent ALTA study, reported by Scotsman Guide, found that 59% of title companies reported at least one seller-impersonation attempt in the prior year, up from 28% in 2024. Nearly 60% said deepfake technology, AI-generated video or audio used to imitate someone, is at least somewhat common.

This is not a reason to avoid online notarization. It is a reason to take verification seriously.

In a typical RON session, the process may include:

1. Reviewing a government-issued ID.
2. Completing credential analysis to check the ID’s authenticity.
3. Answering knowledge-based authentication questions.
4. Completing a liveness check and selfie comparison.
5. Confirming that the signer understands the document and is signing willingly.
6. Maintaining the required notarial record of the session.

If something does not line up, I pause and follow the required process rather than guessing or rushing a signer through.

One example of that process is a random movement request. During an online identity check, an unexpected movement can sometimes help reveal manipulated video. NIST’s digital identity guidelines recommend random movement requests, including moving an object between the camera and the person’s face. FINRA also references simple requests such as moving the camera or waving a hand across the face.

These checks can provide useful clues. But successfully completing them does not prove someone’s identity. They are one layer in a layered verification process that combines technology, identity checks, and professional judgment.

Convenience and careful verification belong together. That is what helps make remote notarization both accessible and responsible.

Is the document notarized, or is it legally correct? Those are two different questions.

A notary verifies the signer’s identity, confirms that the signer appeared before the notary, and confirms that the document was signed willingly and knowingly.

That’s where the notary’s role ends.

A notary does not explain what a document means, tell someone which document they need, advise on wording, or provide legal advice. In Tennessee, a notary may not practice law or accept a fee for legal advice.

So when I say, “I can’t advise you on that. You’ll want an attorney for that part,” that is not an apology or a lack of helpfulness. It is the professional boundary that protects the client and helps prevent a document from being challenged later because someone received unauthorized advice.

What I can do is:

• Confirm the signer’s identity
• Confirm the signer is acting willingly and without coercion
• Show where to sign and where the notarial wording belongs
• Catch a missing signature or blank field
• Recommend getting legal advice when a question crosses the line

Notarization confirms the signing process. It does not confirm that the document is legally correct or that it accomplishes what the signer intends.

If you need a document notarized, I’m glad to help with the notarial process. If you have questions about what the document means or which document you need, an attorney is the right person to ask.

Notary Force is not a law firm. We are not attorneys licensed to practice law in Tennessee and may not give legal advice or accept fees for legal advice.

The closing is ready, but the signer is out of state. Or traveling. Or in a hospital. Or the documents need to be notarized today and then sent overseas.

That is where Remote Online Notarization (RON) can make sense.

RON is now authorized in most states, yet many people still default to a wet signing. Why? In-person notarization is familiar, and there can be uncertainty about whether the document qualifies or whether the receiving party will accept an electronic notarization.

Here’s the simple version: The signer connects with the notary through a secure video session. The notary reviews a government-issued ID, completes the required electronic identity checks, and communicates with the signer live on camera. If the document qualifies, it can be signed and notarized electronically with the required records maintained.

RON may be helpful when a signer is out of state, in a hospital or care setting, traveling, facing a tight closing deadline, or sending documents overseas.

But RON is not a universal answer. Not every document or situation qualifies, requirements can vary, and the attorney, lender, title company, government office, or other receiving party must confirm that an electronically notarized document will be accepted.

I’ve been a certified Remote Online Notary since March 2020. My goal is not to push one signing method. It’s to help you understand your options and avoid surprises.

If you’re unsure whether RON fits your situation, Notary Force is glad to help you ask the right questions.

At 5:00 PM, a frantic title attorney called me about a home sale that was suddenly up against the clock.

Earlier that day, a mobile notary had met with the sellers in person. But the Warranty Deed had been sent without the notarial stamp. It was a human mistake, and the paperwork was already on its way.

For the deal not to fall through, the deed had to carry that same day’s date.

So that evening, I met with the sellers remotely to take care of it.

They were elderly, frustrated, and not comfortable with technology. A one-page document took an hour and a half to complete, not because the document was complicated, but because we had to work through every technology hiccup together.

I put on my IT hat, slowed everything down, explained each step, and stayed with them until it was done.

The deal was saved.

But just as important, the signers were not left alone to figure out the technology while feeling pressured to redo something they thought was already finished.

That is why choosing the right notary matters. Sometimes you need more than a stamp. You need someone who will show up, stay patient, and see the process through.

Not every real estate closing can be completed the same way, and choosing the wrong format can create avoidable delays.

After more than 7 years in the notary business, and as a certified Remote Online Notary since March 2020, here’s the practical breakdown:

FULL RON: The eligible documents are signed and notarized electronically through a secure online platform. This can be convenient when the signer is out of state or unavailable in person, but state law, lender or underwriter requirements, and recipient acceptance still matter.

HYBRID CLOSING: Some documents are completed electronically while others are printed and signed in person. This is often where confusion begins.

WET SIGNING: Documents are signed with ink on paper, which may be required for certain instruments, recording processes, or transaction-specific instructions.

The most common mistake I see with hybrid signings?

Assuming every document can go electronic.

A deed or another wet-ink instrument may need to be printed, physically signed, notarized, and returned for recording, even when the rest of the package is completed online.

Before scheduling, confirm the requirements with the title company, lender or underwriter, and the appropriate recording office. The right closing format is determined by the transaction, not by convenience alone.

A little preparation upfront can keep the signing, and the entire closing, moving forward.

An attorney’s office called me after hours last night with an emergency: a warranty deed needed to be notarized online before a sale could move forward.

The couple had met with another notary in person earlier that day. The deed had been signed, but the notarial stamp was accidentally left off. That human mistake created a serious problem. The deed was not properly executed, and there was no time left to send someone back out in person.

This is where remote online notarization can make a real difference.

I was able to help complete the notarization online and save a day, and potentially save the sale.

The couple was elderly and not especially comfortable with technology, so the session required patience, clear explanations, and step-by-step direction. We took our time and stayed with it until everything was completed.

That is the difference between simply finding an available notary and working with someone who is committed to seeing the process through.

Remote online notarization helped create a solution where everyone got what they needed in the end. And sometimes, that is what matters most.
